Polling in Microsoft teams meeting.
Raising your hands in a face-to-face meeting is an easy and quick way to gauge the mood in a room. The fact that all of your meetings are now online does not mean that you cannot achieve the same.
There are many ways to conduct a survey during a meeting in Microsoft Teams. We’ll cover a few different options, from how to start a Microsoft Teams survey without leaving Microsoft Teams, to sharing surveys created on external survey websites.
Ways to Poll Attendees in a Microsoft Teams Meeting
There are several things to consider when deciding which method to use when conducting a survey in a Microsoft Teams meeting.
- Should content appear in the Teams chat panel?
- Can participants follow a link to respond to a survey?
- Do you want the people you interview to remain anonymous?
- Should the survey results be instantly available to participants?
We’ll look at several different options and highlight the pros and cons of each.
Option One: Create a Quick Survey with Microsoft Forms App for Commands
If you’re already in a meeting, Microsoft Teams lets you create a survey on the fly. Follow these steps to quickly create a poll and post it to a meeting chat.
- First, select the Show Conversation icon to display the meeting chat panel.
- Then select the three dots at the bottom of the chat panel and select Messaging Extensions.
- Search for forms in the Find Application box.
- Select “Forms” and click the “Add” button.
- You will be automatically prompted to add a new poll. Add a question and answer options.
- If you want to automatically share results and / or keep responses anonymous, select these check boxes.
- Click the Save button. You will see a preview of your survey.
- From there, you can choose to either go back and edit the survey, or send it to the meeting chat.
- If you choose Submit, the poll is displayed in the chat panel and the meeting participants can reply.
This method is great for creating a simple last minute Microsoft Teams survey. One drawback is that if your meeting chat is particularly active, the poll can get lost in the chat panel as old messages scroll out of sight.
Option 2: Use the Polly add-in for Microsoft Teams
Polly is another way to add a poll to a Microsoft Teams meeting. Similar to Forms, Polly is a messaging extension that you can add to a Teams meeting or chat. It has many features and options to choose from. You can poll a limited number of people for free, and you can upgrade your Polly account if you have additional needs.
- Click the three dots at the bottom of the chat panel and select Messaging Extensions.
- Search for Polly in the Find Application box.
- Select the Polly app and then click the Add button to install Polly.
- Select a survey type. There are several options such as Question, Quiz, and Q&A. We will use the question type.
- Questions can be multiple choice, open-ended, or assessed. Polly also provides options for allowing multiple votes, allowing members to add options, as well as the ability for visitors to add comments. Activate these parameters accordingly.
- Scroll down to see additional settings for your Polly. The poll can be delivered in the meeting chat or in a direct message to each participant. The results can be seen by everyone in real time after the survey is closed or hidden from the participants. You can also send the survey to participants immediately or schedule it. Finally, you can manually close a survey or set Polly to close a survey after a specified period of time ranging from five minutes to three months.
- When ready, click the
Submit Now button.
As you can see, Polly offers many different features and settings, making it a great choice for polling during a Microsoft Teams meeting. You can also save your Microsoft Teams survey as a template, making it easier and faster to create surveys in the future.
Option 3: Pre-create a Microsoft Forms Survey
If you already know that you want to survey the attendees of an upcoming meeting, you can create a survey in Microsoft Forms ahead of time. To create a survey using forms before the meeting starts, follow these steps.
- Select a calendar in Microsoft Teams.
- Double-click the meeting for which you want to add a poll. v.
- Click the + Add Tab icon at the top of the screen.
- Find Forms and select the Forms app.
- Click the Add button.
Click the Save button.
- You will now be taken to the new Polls tab. Here you can create a pre-meeting poll. Select “Create New Poll”.
- Choose between creating a new poll or a new quiz.
Add your question, answers, and survey settings. When ready, click the Save button.
- During a meeting, access all pre-created polls in the Polls tab. Each survey will have a Start button that you can select when it’s time to start the survey. The poll will appear in a pop-up window in the meeting chat.
- To view the poll results, click the Polls tab. You can choose Export Results. The results will be downloaded locally as an Excel sheet.
When testing this method, we assumed that we could sign in to forms.microsoft.com and see the results of this Microsoft Teams survey. Ironically, this was not the case. Keep this in mind.
Option Four: Link to other survey services
Our final suggestion for conducting a Microsoft Teams in-meeting survey is to create a survey using any of the various survey tools. You can post a link to your poll in the meeting chat. Survey Monkey, Google Forms, Strawpoll, and Mentimeter are some good options for creating surveys.
