How to Print on an Envelope in Microsoft Word.
If you want to send professional-looking correspondence, don’t let the recipient see a dirty, handwritten envelope in the first place. Take the envelope, insert it into the printer, and enter the name and address in Microsoft Word.
Here we will show you how to print on an envelope in Word using a template and also from scratch on Windows and Mac.
Note. At the time of this writing, you could not print an envelope from the Microsoft Word mobile app.
Print on an Envelope in Word on Windows
Before you begin, you may want to get the size of the envelope you will be using because you will need it for the settings you will be adjusting. You can also place your envelope in the printer so it’s ready to go whenever you want.
Use the envelope template
If you want to add a bit of color to your envelope, you can use one of the Word templates.
Open Word and make sure you are in the Home section. Select additional templates on the right.
Type “Envelopes” in the search field and press Enter. After that, you will see several envelope templates that you can use. If you see one you like, select it and use New to open it for editing.
Depending on the template you choose, you may have options to add a logo or image. For recipient and return names and addresses, simply enter text in the placeholders.
Create an envelope from scratch
If you don’t see a template you like, creating an envelope from scratch is just as easy.
With a blank document open in Word, select the Mailings tab and select Envelopes on the left. In the window that appears, enter the shipping address at the top and the return address at the bottom. Select Options to select envelope size and print options.
In this window, use the Envelope Options tab to select the envelope size. If you don’t see the size you want, scroll to the bottom of the list, select Custom Size and enter the width and height of the envelope. Next, you can specify where the shipping and return addresses will appear on the envelope. Use the Left and Top boxes for each address by entering a size or using the arrows to move up or down. With this, you will see the changes in the preview window at the bottom. Alternatively, you can use the “Font” button to select a specific font style or size for each address.
Then click the Print Options tab to select the feed method and front side of the envelope. You can also select a feed tray using the drop-down menu. You may need to check for correct placement according to your printer’s instructions. When you’re done, click OK.
How to Print on an Envelope in Microsoft Word
You will return to the Envelopes and Labels window where you started. To immediately print the envelope, select “Print”. Otherwise, select Add to Document to create an envelope and follow the steps below to print.
If prompted to save the return address, select Yes or No depending on your preference.
Print an envelope in Windows
When it’s time to print your own envelope or edited template, place the envelope(s) in the printer according to the manufacturer’s instructions and the settings you set in the Print Settings tab above.
Click the “File” tab and select “Print”. You can then select the printer at the top and make any other necessary changes to the print settings. You will see a preview of your envelope(s) on the right. Select Print.

Print on an Envelope in Word on Mac
Printing on an envelope in Word on Mac is similar to printing in Windows, but there are a few small differences. So, follow the instructions below if you are working in Word on macOS.
Use the envelope template
You can find the same templates in Word for Mac as you can for Windows to speed up your envelope work.
Open Word and select File > New from Template from the menu bar. Enter “Envelope” in the search field. You will see several different styles of envelopes. If you find one you want to use, select it and click “Create” to open it.
You can then replace the recipient and return example names and addresses in each text field.
Create an envelope from scratch
If you don’t find a template you want to use, you can easily create an envelope from scratch.
With a blank document open in Word, select the Mailings tab and select Envelopes on the left. In the window that appears, enter the shipping address at the top and the return address at the bottom.
Use the Font button to select a specific font style or size for each address if you wish. Click the Position button to change the location of the shipping and return addresses. Use the Left and Top boxes for each address by entering a size or using the arrows to move up or down. You will see your changes in the preview window on the right.
In the Print Options section, select Page Setup to select a printer, paper size, and advanced scaling options.
You can then select “Custom” in the same section to select the envelope size, feed method, and envelope face. If you don’t see the size you want, scroll to the bottom of the list, select Custom Size and enter the width and height of the envelope. Again, you may need to review your printer’s instructions for proper placement settings.
Select OK on each of these pop-ups to close them, save your changes, and return to the envelope window you started with. To immediately print the envelope, click “Print”. Otherwise, you can select the “Insert this envelope in the active document” checkbox, click OK, and follow the steps below to print.
Print an envelope on Mac
When you are ready to print your own envelope or edited template, place the envelope(s) in the printer according to the manufacturer’s instructions and the settings you have set in the print options described above.
Select File > Print from the menu bar. You can select a different printer at the top and make any other necessary changes to the print settings. You will also see a preview of your envelope(s). Select Print.
Save Your Envelope
In Word for both Windows and Mac, you can save the created envelope document by choosing File > Save or Save As. Select a location, give your document a name, and click Save. Then just open it again to edit and reuse your Word document as an envelope.
