How To Choose Pre-Designed Paper Templates In Dropbox
Dropbox has a good selection of pre-made templates. These templates are suitable for industries and their day-to-day requirements. Here’s how to start a document with a template.
1. Open Dropbox Paper.
2. On the main screen, navigate to the right and instead of clicking on Create New Document, select New with Templates.
3. A drop-down window will open with a choice of three default templates (brainstorming, meeting note, project plan). You can use any of the templates by simply clicking the thumbnails and starting the document.
4. All templates are displayed in the template window. Click the drop-down arrow next to Everyone and you can filter templates that you own or that your collaborators have shared with you. Any templates you create will also appear here.
5. Like all templates, this document is only a blueprint. You can customize it to suit your needs by changing any fields, headers, or placeholder text. When you are finished with the document, move it to the specified folder.
Dropbox also has a library of paper templates well-categorized with other templates. Find the one you want by going through the categories. Click the template thumbnail you want and select Use Template To Start Working On Your Document.
How To Make Your Own Template From a Blank Document
You can turn any blank document into a template. Lay out the document and format it using the tools provided by Dropbox.
Formatting a Dropbox Paper template is similar to formatting a document. You can add tables, timelines, media, code blocks, etc. to the template. You can even add placeholder text that can act as labels to describe what someone else might fill in fields or spaces. Remember, Dropbox saves all your changes automatically.
Then just open the More menu (three horizontal dots) in the upper right corner and select Templates from the drop-down menu.
The template is created and the title of the edit template appears at the top of the page. Once the template is created, any changes you make to it will not affect the original document.
You can even add placeholder text by highlighting the text by clicking the text icon in the formatting menu.
Tip: You can also consider a To-Do document and turn it into a template. The case is hidden until you click the Show To Do List button in the upper right corner. Once you present it, you can work with it like a regular document and even make it part of another document. But to make it more useful, make some changes to it and turn it into a template.
For example, you can turn it into a checklist that you can use to view a document or project. Of course, you also have the option to use the group checklist template in the library.
Edit Dropbox Paper Templates
You can only edit templates you have created. If you want to edit a shared template that someone else has created, create a document from that template. Then create a template and make your copy.
But what if none of the built-in templates suit your needs? Dropbox Paper makes it easy to create templates with just a few clicks.
Share a Dropbox Paper Template
Sharing a template helps each team member start from the same base. Hover over the template you want to use and click on the edit icon (it looks like a pencil). Click Share.
You can also invite collaborators to work with you on a new template. The workflow is the same as for any shared document before it is created from a template.
Create Dropbox Paper Templates From The Mobile App
You don’t need to be tethered to the desktop. Use the dedicated Dropbox Paper mobile app to create and manage documents on the go. The process is the same.
1. Open Dropbox Paper on iOS or Android.
2. On the Browse screen, click the plus sign at the top and select a template from the list that appears on the screen.
There are still a few limitations in the mobile app. You cannot access the template library yet. There is also no method of “templating” the document. Hopefully Dropbox will include it in future versions of the app.
