Lots of other task management apps like Google Tasks and Todoist integrate seamlessly with Google Calendar Unfortunately, Microsoft is refusing to add such integration for now.

You’re not entirely lucky. There is one cloud service that integrates perfectly with both Google Calendar and Microsoft To-Do. This is a Zapier service.

What is Zapier?

Zapier is a cloud-based automation service that lets you automate actions between almost all of your online accounts.

You can use triggers from one service, such as Gmail or WordPress, and then use them to trigger actions on other services, such as Twitter or Google Calendar In fact, integrations are only limited by your imagination.

You can use the free Zapier account, which gives you 10 Zaps and 2000 tasks per month. Each Zap is automation and each task is how many times it can run each month before reaching your limit.

If you really need more, there are plans that range from under $ 20 per month for 3,000 tasks per month to just over $ 100 for 50,000 tasks per month.

Zapier integration with Microsoft To Do

Once you’ve created your Zapier account, select “Make a Note” in the upper left corner to begin creating your first integration with Microsoft To Do Google Calendar

In the first step, Make your zap, you will need to find the Microsoft To-Do app in Zapier.

1. Enter Microsoft to-do in the search box. Select Microsoft To-Do in the results.

2. This will open the first step of creating a Zap using Microsoft To-Do events. To view the available events, select Show 3 more events.

3. This will show all available events from Microsoft To Do.

You can use the following events to trigger the Google Calendar integration.

New task: every time you create

a new task.
New list: whenever you create a new trigger.
Completed task: Runs when you complete a task.
Updated task: Runs every time you update a task.

You can use any of these events to update your Google Calendar And this is where your creativity comes in.

Microsoft To Do merges with Zapier

Let’s take a look at how the Microsoft To-Do Google Calendar integration looks like in Zapier.

For example, let’s say you want to create a new calendar entry whenever you create a new task in Microsoft To-Do. To do this, in the “Select an event” section, select “New Task”. Then select Continue.

If you haven’t connected Microsoft To Do to Zapier yet, you will need to select Sign in to Microsoft To-Do to continue.

After connecting to your Microsoft To-Do account, select Continue to set up your event. To select the list on which you want to trigger the trigger, select Select Value under Configure Task.

This will download all the lists that are in your Microsoft To-Do account. Select the one from which you want to run the Create Task. This will restrict the event to only the tasks you create in this list.

Select “Continue” to continue.

Select Test Trigger to see if Zapier can connect to your Microsoft To-Do account.

If the connection is successful, you will see that Zapier has detected one of the new tasks on this list.

Select “Continue” to continue.

Now that you have a connection between Zapier and Microsoft To-Do and a trigger fires every time you create a new task, it’s time to establish a connection to Google Calendar

1. In the next step, you will need to find the application in the same way as above. Enter Google Calendar in the search box and select Google Calendar when it appears.

2. Next, you need to tell Zapier what you want it to do in Google Calendar whenever you create a new task in Microsoft To-Do. Select Show 3 more events to see the entire list.

3. In this example, we want to use the information from the new Microsoft To-Do task to create a detailed event in Google Calendar So, select “Create detailed event”. Then select “Continue” to proceed to the next step.

4. You will need to select the Google Calendar account you want to use or connect to an existing one. You only need to do this once, as Zapier saves all the connections you’ve made. When finished, click Continue.

5. You can now identify each element of a Google Calendar event using the details Zapier was able to extract from your Microsoft To-Do task. For example, for a summary of calendar events, it probably makes sense to use the Microsoft To-Do task theme.

It’s actually quite remarkable how much information Zapier can extract from your Microsoft To-Do tasks. There are too many to list here, but some of the more important elements include:

- Topic and body of the issue.
- Due date, start, end, date and time of the reminder.
- Current task status.
- To whom the task is assigned.
- Severity level.
- Completion date.

This is just a small part of the list of information you can choose to include in your Google Calendar events.

Note. When it comes to choosing dates, it is best to make the date of the Google Calendar event the same as the date of the reminder in Microsoft To-Do. This ensures that you don’t forget to start the task ahead of schedule, not on time.

6. When you’re done configuring what Microsoft To-Do data will fit into your calendar event, select Continue.

7. Select “Check and Continue” to make sure the integration works. You should see the status “Test was successful”.

8. Select Turn On Zap to complete the integration.

Create Microsoft To-Do Google Calendar Integrations

When you consider how much Microsoft To-Do task data you can use in Zapier (and Google Calendar events), the amount of integrations you can do is impressive.

Here are some ideas to get you started.

- - Create a new Google Calendar event when creating a new task.
  - Refresh the Google Calendar event when the task is updated.
  - Remove the Google Calendar event after completing the task.
  - Create a recurring Google Calendar event when you create a new Microsoft to-do list.

With this level of automation between the two, it really doesn’t matter if Microsoft To-Do has added Google Calendar integration by default. Despite its price tag, Zapier at least makes it effortless.
