Microsoft calls its Planner app “a simple, visual way to organize collaboration.” Among other features, this project management app helps you to create a project plan, create and assign tasks in different categories, and view plan data and statistics.
Anyone with an Office 365 subscription, whether it’s a personal subscription or an enterprise subscription through your employer, has access to Microsoft Planner.
Microsoft Planner Tutorial
Microsoft Planner has multiple front doors. Start by signing in to your Office 365 account. You can do this at any of the many entry points in Office 365, including:
If you’re already signed in to a different area of â€‹â€‹Microsoft Office, you can find the link to the Microsoft Planner app by selecting the app launcher icon in the upper left corner and choosing Planner. If Scheduler is not listed, select All Apps and find Scheduler in the list.
Alternatively, you can sign in to Microsoft Planner directly at tasks.office.com.
After logging in, your first stop will be at the Planner Center. From there, you can start a new plan, view recent plans, view all your plans, or view tasks assigned to you.
Take a look at the link to get the Planner mobile app at the bottom of the left menu. Select the link and click “Submit” in the modal dialog.

How to Build a Plan in the Microsoft Planner App
Before assigning tasks to yourself or other people, you must create a plan.
Create a plan
In the left pane, select New Plan. Fill in all the information requested in the New Plan window.
- Give your plan a name.
- (Optional) If you will be inviting an existing Microsoft group to your plan (for example, through Microsoft Teams), you can add your plan to the group now by selecting Add to an existing Microsoft 365 group and then choosing the group to your plan. This is handy if you think you will have multiple plans for the same group.
- Decide whether your plan will be public or private. If you choose public, anyone in your organization can see your plan. If you choose private, then only people you add to your plan will be able to see it.
- (Optional) Write a description for the group. When you add new members to your plan, they will see a description of the group that gives them an idea of â€‹â€‹the purpose of the plan.
- Select Create Plan.
Then you will see the main dashboard or board of the plan you just created.
The dashboard view is card-based, just like Trello. Add your team members to the plan before adding tasks.
Adding other people to your plan
From the plan dashboard, select the Members drop-down menu. Enter the person’s name to add them as a member.
Adding and assigning tasks
Your plan has one default task bucket called To Do.
- You can add a task to this cart by selecting Add Task.
- You can create additional segments for your tasks by selecting the Add new segment link. Enter a name for the new segment and press Enter.
- Then select the Add Task link below the segment you want. Enter a name for the task.
- Set a due date.
- Then choose who you want to assign this task to. The task card will display “Not assigned” until you assign the task.
- Don’t forget to click the Add Task button to save the task.
- Your task will appear as a card below the segment you selected.
To add additional information to a task, select a card in the dashboard. From there, you can add a label, change the task segment, and specify the task progress, priority, start date, and due date.
You can also add notes, checklists, and attachments. Any team member can add comments to the task.
Staying on Track
Microsoft Planner offers many ways to get a bird’s eye view of your plan.
The Charts tab displays a summary of the status of all tasks in the plan, the number of tasks in each segment, a chart showing the number of tasks at each priority level (urgent, important, medium, and low), and a list of tasks. plan participants and how many tasks were assigned to each person.
The Schedule tab displays all the tasks in the calendar so you can get an idea of â€‹â€‹what tasks are approaching due dates.
Select the three dots to the right of the Schedule tab and you’ll find many more Microsoft Planner features.
- The conversation takes you straight to Outlook so you can send emails to group members.
- Members will be taken to the group membership page for your plan, where you can add and remove members.
- Files take you to the group’s Sharepoint library, where you can create, upload, delete and edit documents associated with your plan.
- Notebook launches a Microsoft OneNote notebook dedicated to your plan.
- Sites take you to a page where you can create and modify a Sharepoint Team site for your plan.
You can also add a plan to your favorites, make a copy of the plan in Microsoft Planner, export the plan to Excel, copy the link to your plan, and add the plan to your Outlook calendar.
Group owners can select Plan Options to configure the group’s email settings and specify whether the group should receive an email when a task is assigned or completed. The owner can also delete the plan here.
Performing tasks in Microsoft Planner
When a task is complete, the person assigned to it can mark it as completed on their card on the board.
After the task is marked complete, you can find it again by expanding the Show Completed drop-down list.
Get Your Plan Updates
Members of the plan can choose when to receive notifications from the Planner by selecting the gear/settings icon, selecting Notifications, and specifying their notification settings.
